Privacy Policy

The short version

GraphixOS stores the work you create, sends parts of it to AI services so they can generate text and images for you, and measures how the product is used so it can be improved. It does not sell anything about you to anyone.

There are two things in here most services would bury, so they are near the top instead: images the product generates are stored at public web addresses, and your sessions may be recorded. Both are explained below.


Who is responsible for your data

GraphixOS is operated by Mac McClellan, a sole proprietor based in Florida, United States. GraphixOS is a trading name, not a separate company, so the person responsible for the decisions described in this policy is a person rather than an organisation.

Other companies handle parts of the service under instruction, and they are described below, but they do not decide what is collected or why.

What is collected

Your account. Sign in is handled by Clerk. GraphixOS stores your email address, your name, and the account identifier Clerk gives you. Your password is never seen or stored by GraphixOS.

Your work. Everything you create in the product: your story structure, your prose, your characters, your locations and lore, your panel descriptions, and the prompts used to make each image. This is what the product is for, and it is stored so you can come back to it.

Your images. Every image generated or imported, kept as a file in cloud storage.

Payment information. Payments are handled by Stripe. Your card details never reach GraphixOS. What is stored is your plan, your Byte balance, and a record of each charge and refund.

How you use the product. How long each AI generation took, whether it succeeded, how many reference images it used, and a set of markers recording how far through the product you have got, such as creating your first character or exporting your first page. This exists to find out where the product is failing people.

Technical and traffic data. Page views, the site that referred you, and any campaign parameters in the link you arrived on.


Where your work goes

To generate anything, GraphixOS has to send your material to the services that do the generating.

  • An AI image-generation service receives your image prompts and the reference images they are based on, and returns generated images.
  • An AI writing service receives your story context, prose, characters and lore when you use the writing assistant, when the product drafts a prompt for you, or when it extracts panels from your scene.

These services are not given your name or email. They receive the creative material needed to do the job.

One thing worth knowing about generated images. They are created on the image service's systems before they reach GraphixOS. Every image is copied straight into GraphixOS storage and it is that copy the product uses, but a copy also existed on the service's side at the moment it was made, and how long they keep it is governed by their terms rather than by this policy.

The AI services used may change as better ones become available. If a change would alter anything this section describes, this policy will be updated before the change is made.

Alongside them, a cloud database and storage provider holds your data and files, Clerk handles your account, Stripe handles payment, and Resend sends the welcome and onboarding emails.


Images are stored at public web addresses

Images you generate or import are stored at web addresses that work without logging in. Anyone who has the link to one of your images can open it, and a link cannot be withdrawn once it exists. If you make personal or mature material, keep that in mind before sharing a link.

This is being changed to private storage with short-lived links.


Analytics and session recording

Two measurement tools run on the live site.

Google Analytics records page views, which site referred you, and what campaign a link belonged to.

Microsoft Clarity records browsing sessions. That means it can capture the pages you visit, how you move around them, and text you type into the product, including your own creative work. When you are signed in, those recordings are labelled with your account identifier so they can be tied to your account.

This is the most intrusive thing in this policy, which is why it is near the top and stated plainly. It is used for one purpose: finding out where people get stuck, so that it can be fixed. Recordings are not sold, shared, or used for advertising, and nobody outside GraphixOS sees them.

If you would rather not be recorded, block it. Most tracker-blocking extensions and the privacy protection built into browsers such as Firefox, Brave and Safari already stop both of these tools, and GraphixOS will not work around a blocker. There are techniques for defeating them and they will not be used here, because a person blocking a tracker has made a decision and it deserves to be respected. Blocking these tools does not affect the product in any way. Everything works exactly the same.

That is the honest position rather than a generous one: a good number of visitors already block them, and that is fine.


Cookies and browser storage

  • Login cookies set by Clerk, which keep you signed in.
  • A "this browser runs JavaScript" flag, used to decide whether to serve the plain version of the home page that search engines read. It is not a tracker and identifies nobody.
  • The site you arrived from, held for the length of the visit so the visit can be attributed.
  • A working copy of your own project, held in your browser so pages load instantly instead of waiting for the network. This is a copy, not the original. Your work is saved to your account on the server, so clearing your browser data does not lose it: the next time you sign in, it is fetched again.
  • Google Analytics and Microsoft Clarity set their own cookies.

How long things are kept, and how to remove them

Your work is kept for as long as your account is open, because otherwise the product would lose it.

There are two different things you can do, and they do different things.

CANCELLING stops the billing. DELETING destroys the account. They are not the same, and the product asks you to be sure before it does the second one.

If you cancel, or your free trial ends. The treatment is the same either way, whether you paid or never did. Nothing is deleted straight away. A paid plan runs to the end of the period you have already paid for, and after that the AI features stop and nothing else does: everything you made is still there, you can open it, write, edit, lay out pages and save. That exists so you can leave properly rather than being locked out of your own work.

Your work is kept for at least 90 days, and after that the account and everything in it may be deleted, including the image files. Often it will simply sit there for longer. What is promised here is the floor rather than a deadline: it will never happen sooner than 90 days, and it may well be a good deal later. Throughout that time you can still open your work and export it. Your writing always exports in full; the comic exports in the packaged formats if you have paid at some point, and one watermarked page at a time if you never have. If you want to be certain of keeping your work, take a copy before you stop using GraphixOS.

If your account is deleted that way, your email address is kept. Not your work, not your images, not your characters. Just the address, so that GraphixOS can tell you if there is a good reason to come back, such as a major new version. Every message of that kind has an unsubscribe link, and you can be removed from the list at any time by emailing admin@graphixos.com.

If you ask to be deleted, it happens immediately. There is no waiting period and no undo. The account, your projects, your written work, your characters and lore, your billing history, your progress markers and your image files are all destroyed at once. Anything you have not downloaded is gone. Because of that, the product warns you clearly first and offers you the alternative of cancelling instead, which stops the billing and leaves your work where it is.

⚠️ If you have time left on a paid plan, deleting throws it away. Cancel instead, use what you have paid for, and delete afterwards if you still want to.

When you ask to be deleted, your email address goes too. It is used once, to send you a confirmation that it is done, and then it is gone. You will not receive come-back offers, and you are not kept on any list. The same applies when somebody asks on your behalf, such as a parent asking for a child's account to be closed. Asking to be deleted means deleted, not moved to a quieter list.


Your rights

Whoever you are and wherever you live, you can:

  • Ask what is held about you, and get a copy of it.
  • Ask for it to be corrected if it is wrong.
  • Ask for it to be deleted, including your image files.
  • Ask questions about any of this and get a straight answer.

Email admin@graphixos.com. Requests are read and answered by a person, as quickly as I can.

If you are outside the United States. GraphixOS is run from Florida by one person, and it is not set up to meet the data protection laws of every country it can be reached from. If you are in the United Kingdom, the European Union or anywhere else with rules of its own and you have a request about your data, make it anyway. It will be handled the same way as any other request, as far as is practical.


Age

GraphixOS is for adults. You must be 18 or over to create an account. Creating one means accepting the Terms of Service, and that requirement is one of them.

The reason is the material rather than the technology. GraphixOS supports mature themes in storytelling, the writing assistant will write to the tone your project asks for, and you can import your own images as character references. That combination is not suitable for children.

GraphixOS does not knowingly collect anything from anyone under 18. If we learn that an account belongs to someone under 18, it will be closed and its data removed, including the image files. If you are a parent or guardian and believe your child has created an account, email admin@graphixos.com and it will be dealt with.


Changes to this policy

If this policy changes in a way that affects what happens to your data, the change will be noted here with its date. The version you agreed to when you signed up is kept on record.
